The Volunteer Engagement Manager is responsible for planning and
executing OMSI's volunteer program, which plays a crucial role in
shaping the organization's vibrant culture. This position involves
engaging with diverse communities to create meaningful volunteer
opportunities for individuals and groups. By building strong
relationships within the community and collaborating with internal
teams, the Volunteer Engagement Manager contributes to the
advancement of OMSI's mission, commitment to belonging for all, and
inclusion that addresses racial equity.
Essential Duties and Responsibilities
- Volunteer Program Management & Leadership:
- Manage electronic and onsite databases for volunteer
applications, service history, and recognition awards.
- Draft and manage the Volunteer Engagement budget, supporting
short- and long-term needs.
- Recommend and implement volunteer process and policy
improvements, focusing on onboarding, orientation, and
supervision.
- Handle volunteer and staff conflict resolution, emphasizing
coaching, mentoring, and disciplinary actions when
necessary.
- Collaborate with internal teams to plan department events,
providing strategies for recruitment, training, and retention.
- Volunteer Recruitment, Training, and Recognition:
- Design and implement strategies for recruitment of volunteers
to meet organizational needs.
- Respond to volunteer inquiries, assess opportunities, and
manage onboarding processes.
- Lead new volunteer orientations, developing materials to
outline expectations, policies, and resources.
- Support retention through appreciation events, professional
development opportunities, and formal recognition of volunteer
contributions.
- Assist supervisors in providing performance feedback and
clarifying expectations for volunteers.
- Supervision of Volunteer Engagement Coordinator and Unpaid
Staff:
- Oversee staff work plans, conduct regular check-ins, and
provide performance reviews for the VE Coordinator.
- Engage a small group of volunteers in department-specific
administrative projects, coordinating their tasks.
Working Conditions:
- This position is exempt, paid salaried;
- This position is regular full-time scheduled for 40
hours/week;
- This position requires working one weekend day and holidays as
needed.
- This position requires working 2-3 evenings per month in
support of interview fairs and new volunteer orientation.
- Physical Demands: 70% sitting, 25% standing, 5%
lifting/carrying/pushing 5-20 lbs.
- Vision Demands include:
- Close vision (clear vision at 20 inches of less)
- Distance vision (clear vision at 20 feet or more)
- Environmental Demands include:
- Regular and consistent public interaction
- Noise Levels include:
- Moderate (examples: business office with computers and
printers, light traffic)
- Loud (e.g., public events, exhibit spaces, or areas with high
foot traffic and interactive displays)
Secondary Responsibilities
Secondary responsibilities include-but are not limited to-the
following:
- Participates in coordination of All Staff engagement events as
needed or assigned;
- Serve as Lead Editor and coordinator of OMSI's Staff
Newsletter.
- Oversees and manages Volunteer Lounge resources and upkeep,
with an emphasis on vests, badges, and breakroom supplies.
- Participate in Safety and Exhibit Hall committees as
appropriate and/or directed to highlighting volunteer policies and
safety procedures.
Knowledge, Skills, and Abilities
REQUIREMENTS:
- Business Practices:
- Strong communication skills in presentations and public/virtual
speaking.
- Ability to resolve volunteer and guest experience issues and
guide volunteers in customer service and guest engagement.
- Adherence to confidentiality and protocol.
- Sound judgment, integrity, and ethical standards.
- Strong organizational and problem-solving skills.
- Proficient in Office 365 and Google Suite.
- Volunteer Leadership:
- Cross-cultural competency, including best practices in managing
to build a multicultural volunteer force.
- Foster positive team dynamics with paid and unpaid
staff.
- Build and maintain community relationships for volunteer
programming.
- Knowledge of volunteer coordination, recruitment, and retention
best practices, including training and mentoring of
volunteers.
- Familiarity with volunteer database management.
Education & Work Experiences
REQUIREMENTS:
- 5 years of cumulative experience-with increasing
responsibility-in a public-facing customer-service setting and/or
administrative/office position, including but not limited to
effective time management and budget tracking capabilities;
establishing or contributing to system and processes improvements,
and project management and/or coordination experience.
PREFERENCES:
- College degree with a concentration in relevant body of
knowledge
- Experience utilizing the capabilities of a volunteer management
software
- Proficient or fluent in a second language.
Additional Requirements/Preferences; Including Licenses and
Certifications
REQUIREMENTS:
- Pre-employment checks, such as criminal background checks and
reference checks.
- Valid driver's license.
PREFERENCES:
- Certification in Volunteer Administration (CVA).
